Payments
A deposit of 25% of total cost is required upon confirmation. The
balance is required based on full occupancy of the aircraft,
8 weeks prior to departure. Repayment for reduced numbers
as well as any additional on-site extras will be settled after
the event.
Cancellations by the client
If the event is cancelled by the client, the following conditions
will apply:-
- Cancellation prior to 90 days before departure - Loss of
deposit.
- Cancellation between 90 - 30 days before departure - 50%
of total projected cost of the event if it had taken place.
- Cancellation less than 30 days before departure - 100%
of total projected cost of the event if it had taken place.
- If the event is cancelled completely, at any time, all deposits
paid or overdue for payment will be forfeited.
Cancellations due to adverse weather
It is possible that the event will have to be postponed due
to adverse weather conditions. Such a decision will be
made by the aircraft operator up to 10:00am on the day of travel. After
10:00am on the day of travel the client has the option to wait
and continue with the programme, or to cancel and reschedule
to another day. If the decision is to cancel the event,
the client will be asked to choose another date, departing within
4 weeks - there will be no charges passed on to the client. No
compensation will be paid for missed aspects of the day, if departure
is delayed.
Change of departure date
If a client wishes to change the date of the event once the
booking is confirmed the following charges will apply: -
- Once the booking has been confirmed: £500
charge
- Between 28 to 14 days prior to departure: 50%
of the total event cost
- Less than 14 days: 100%
of the total event cost
Air traffic control
Vantage Point cannot accept any liability for delays caused
by air traffic control. The programme for the day will
be adjusted to accommodate the changes.
Variation of numbers
Final numbers must be confirmed 10 working days prior to arrival. Final
reconciliation will be on this basis. There are no
minimum numbers required.
Late return to UK
Arrangements will be made to ensure that you return to your
home base airport by the scheduled time. If you choose
to delay your return then there may be an additional charge to
keep the home base airport open late.
For example Farnborough Airport closes at 2000 hrs and Biggin Hill at 2100 hrs.
Exchange Rates
If costs increase due to exchange rate fluctuations, which are
beyond the control of Vantage Point, then Vantage Point shall
be entitled to vary the costs quoted.
On Site Extra's
If additional services, food or drinks are required on location
over and above the inclusions in our arrangements, then these
can either be paid directly on site by yourselves, or, invoiced
after the event with a 15% charge.
Site Inspection Costs
If you would like us to arrange a site inspection, staff costs
are charged at £250 per or part day, plus any additional
expenses such as UK travel costs, flights, meals, costs incurred
in the destination etc. |
